Inhabitr is an AI-driven technology platform providing end-to-end furnishing solutions to commercial real estate firms - focusing on design, procurement, import & installation services. We specialize in delivering high-quality, tailored solutions for all sectors of multifamily and commercial real estate projects. We are seeking a skilled and proactive Project Coordinator to oversee the execution and delivery of furniture projects, both procured and custom-manufactured, ensuring seamless operations and exceptional client satisfaction.

Job Summary:

The Project Coordinator will be responsible for managing the entire lifecycle of furniture & design projects within the multifamily sales vertical. This role involves discussing project requirements with clients, reviewing and providing feedback on design proposals, managing contract execution, overseeing payment and installation services, and ensuring any post-project issues are addressed promptly to achieve 100% client satisfaction.

Key Responsibilities:

  • Client Interaction:Engage with clients to understand their project requirements, goals, and expectations. Serve as the internal execution partner for the client to communicate with throughout the project lifecycle.

  • Design Review:Review draft proposals and design plans from the design team. Provide constructive feedback to ensure that designs align with client objectives and project requirements.

  • Proposal Feedback:Solicit and incorporate client feedback on proposals and designs, making necessary adjustments to meet their needs and preferences.

  • Timeline Management:Provide feedback to the client on where we are in the design, procurement, and installation process in order to stay on time with the proposed install date.

  • Contract Management:Create a contract summary for the internal team, and ensure all contract terms are met pointing out any risk factors for Inhabitr or the client.

  • Payment & Installation:Manage invoicing including accuracy of invoice, and timing of invoicing based on agreement. Coordinate installation services, ensuring timely and efficient delivery and setup of furniture.

  • Project Execution:Ensure the seamless execution of all projects, from initial planning through to final installation, addressing any issues or challenges that arise.

  • Issue Resolution:Handle any post-project service requests or issues, coordinating with relevant teams to resolve problems and ensure complete client satisfaction.

  • Quality Assurance:Monitor project progress and quality, ensuring that all deliverables meet company standards and client expectations.

  • Documentation:Maintain accurate records of project details, including contracts, payments, design revisions, and client communications.

  • Qualifications:

    • Bachelor’s degree in Project Management, Interior Design, Business Administration, or a related field (or equivalent work experience).

    • Proven experience in design & furnishing or similar projects, with a strong understanding of procurement processes.

    • Excellent communication and interpersonal skills, with the ability to effectively interact with clients, design teams, and installation professionals.

    • Strong organizational and multitasking abilities, with a keen eye for detail and the capacity to manage multiple projects simultaneously.

    • Experience with contract management, invoice processing, and installation coordination.

    • Proficiency in project management software and tools.

    • Ability to troubleshoot and resolve issues promptly to ensure client satisfaction.

    Preferred Qualifications:

    • Training or experience with CAD or .DWG files

    • Experience in Hubspot CRM and/or NetSuite ERP

    • Experience in the commercial real estate industry including Student Housing & Multifamily Housing.

    • Knowledge of furniture design, layouts, space planning and manufacturing processes.
