Position Overview
The Head of Project Operations is responsible for the day-to-day health, performance, and scalability of Inspired ADUs’ project delivery systems and active project pipeline. This role ensures that projects move predictably through the pipeline, teams are supported with clear processes and data, and leadership has the visibility needed to make informed decisions.
Working closely with company leadership, project managers, and the design team, the Head of Project Operations translates strategy into execution. This role is accountable for strengthening core workflows, improving consistency across client and internal deliverables, and building systems that support both current project volume and future growth.
This is a hands-on role for a systems-oriented operator who thrives in a design-led, fast-moving environment and is comfortable evolving processes as the company grows. The right person brings strong project operations instincts, uses day-to-day delivery experience to identify where things break down, and helps build the tools, workflows, and accountability needed to keep projects and teams running smoothly. Key Responsibilities
Custom Studio – Core Design Services & Project Pipeline
Own the operational performance of the custom design and ADU project pipeline, ensuring projects move predictably through design, permitting, and construction.
Oversee the health of the full active project portfolio, with clear visibility into schedules, budgets, risks, bottlenecks, and escalations across all project stages.
Establish and maintain clear project workflows, milestones, and standards that reduce friction for clients and make delivery easier for the design team.
Build, maintain, and continuously improve project tracking tools, dashboards, and Airtable-based systems that surface schedule, budget, and risk indicators for Project Managers and leadership.
Identify, centralize, and maintain key data from past projects (e.g., feasibility research, permit costs and comments, construction bids, RFIs) so it is visible, usable, and actively informs project delivery and decision-making.
Ensure operational data is accurate, accessible, and actively used to flag issues, support timely decision-making, and improve forecasting across the pipeline.
Partner with sales and project teams on GC coordination, bid review, and pre-construction.
Help translate recurring project delivery pain points into better systems, workflows, and team practices.
Products – Panel Kits, Interiors & Procurement
Collaborate with sales and leadership to improve the panel kit sales-to-delivery cycle, with a focus on feasibility, clarity, and clean handoffs into delivery.
Build and maintain pipeline tracking and project operations tools for panel kit projects, including schedules, budgets, and fabrication coordination.
Establish workflows that coordinate design, engineering, fabrication, and delivery to support predictable execution of panel kit projects.
Collaborate with the interiors team to improve how interiors and procurement are scoped, coordinated, and delivered across projects.
Contribute operational perspective to interiors and procurement offerings so they are easier to sell, manage, and execute consistently.
Support the development of scalable systems for new revenue streams as those offerings become more defined.
Qualifications
Bachelor’s degree in Business, Architecture, Construction Management, or a related field preferred, or equivalent professional experience
5+ years of experience in project operations, project delivery, or business operations, ideally at small/mid AEC firms or in residential design/build, housing, or construction-adjacent environments
Familiarity with residential construction, ADUs, or related design build sectors
Demonstrated ability to manage, analyze, and improve a complex project pipeline across multiple concurrent projects
Strong systems thinking, with the ability to identify operational gaps, define practical solutions, and improve workflows over time
Strong proficiency in Excel and Google Sheets
Experience using Airtable and QuickBooks Online, with the ability to quickly learn new tools and systems; basic exposure to AI tools and a willingness to deepen that skill set
Highly collaborative, systems oriented approach to operations
Ability to work in a growing, shifting environment with dynamic roles and responsibilities
Interest in long-term, meaningful contribution in a close knit team environment

Compensation
Base Salary: $115,000 - $125,000 based on experience, plus annual performance bonus program and full benefits detailed below
Location:
Hybrid from Oakland; in-office M&W w/ Bay Area site visits Full-time position with salary and benefits
